What is the SMART Global Congress?

The inaugural SMART Global Congress is the first ever worldwide meeting for conservation practitioners using SMART, the most widely used protected area management solution in the world. Attendees will have the opportunity to showcase their work, participate in discussions and presentations on a range of conservation applications, receive training, and network with peers from more than 1,200 sites across over 100 countries. 

Where is the event?

The Congress will take place at the Mercure Hotel in Windhoek, the capital city of Namibia. The venue is located at the corner of Auas and Aviation Road, Windhoek, Namibia, 9000 WINDHOEK, Namibia. Accommodation and the congress venue are in the same premises. 

When is the event?

The SMART Global Congress will be held 10-14 March, 2024. Congress sessions and activities will run daily on the 11-13 March from approximately 08:00 to 17:00.

When do I need to arrive?

Participants should plan to arrive on Sunday 10 March. Accommodations have been organized from Sunday 10 March and congress activities will begin with an opening plenary session on the morning of Monday 11 March.

What can I expect at the Congress?

Congress activities will span over a period of 3 days (11-13 March) and will feature keynote speakers, breakout sessions, and hands-on training from SMART experts and conservation practitioners from around the world. Special events will be hosted on the Monday and Wednesday evenings. Additionally, the Congress will provide ample opportunities for networking and fostering a sense of community among practitioners.  Further details regarding the program will be shared as they are confirmed at a later stage.

Is there an agenda?

The Congress will cover a diverse range of topics related to conservation and the use of SMART and other integrated technologies in protected and conserved areas around the world. The congress program is live and available on either the agenda page or in the Congress app. All registered participants will receive a direct invitation to download the Congress app. 

What languages are supported at the Congress?

All sessions, presentations, and training will be conducted and provided in English. We apologize for any inconvenience caused to those who may require translation services or support in other languages.

Will the Congress be live-streamed?

The Congress will not be live-streamed. We are aiming to record all of the sessions and make them available on our YouTube channel after the event. More details will be provided at a later date.

Can anyone attend the SMART Global Congress?

The SMART Global Congress is primarily designed for conservation and conservation technology practitioners that use SMART and/or other integrated technologies in the field. The content and discussions at the Congress will be tailored specifically for those actively involved in conservation work. Therefore, the event is most beneficial for conservation practitioners (e.g., protected/conserved area managers, rangers, etc.), researchers, experts, and individuals working in conservation-related fields. If I have not registered before the 15th December, can I still apply?

No - registration for the Congress has now closed, as of mid-February, and we are no longer accepting registrations for the waiting list.

How much does Congress participation cost?

Attending daily congress activities is free of charge for all registered participants.

Which costs are covered by the SMART Partnership, and what are participants expected to pay on their own?

The SMART Partnership will cover the cost of accommodation (4 nights), Congress participation (3 days), and meals (including 2 special events) for registered participants from dinner on Sunday 10 March through to breakfast on Thursday 14 March. Airport transfers from Windhoek’s Hosea Kutako International Airport will be provided during 10-14 March. All Namibians living within commuting distance of Windhoek will be considered daily participants and will be included in all Congress activities except accommodation.

The SMART Partnership does not cover the expense of your travel arrangements to the Congress, including airfare, gas reimbursement, or pier diem. Should you arrive before 09 March or depart after 14 March, all costs will be for the account of the participant. Meals outside the congress are not covered. A limit will be set for beverages during meals.  Any other expenses are for the account of the participant. Please note that all stated prices are subject to VAT and variations in currency rates.

Is there a waitlist for those who wish to have their accommodation covered?

Those who pre-registered will be allocated a shared room covered by the SMART Partnership. Namibians living within commuting distance of Windhoek will not be entitled to accommodation and will be considered daily participants (included in all activites except accommodations).

There will also be a waitlist for those who wish to have their accommodation covered by the SMART Partnership. While we aim to support as many people as possible, the availability of accommodation coverage is very limited. Therefore, we cannot guarantee that everyone on the waitlist will receive this benefit.

If I live nearby, can I attend activities during the day?

Yes, if you are registered and are an approved participant, you will be able to attend the congress and special events. This will all apply to all Namibians staying within commuting distance of Windhoek.

When is the deadline to register?

The deadline for registering for the SMART Global Congress was 15 December 2023. Registration has now closed.

Is there a virtual attendance option?

For those unable to attend, we are hoping to release session recordings to the public after our event ends.

What if I can only come for a portion of the Congress?

Yes, participants have the option to come for a portion of the Congress if they have registered by 15 December 2023. If you have not, then you will be added to a waiting list. However, since the SMART Partnership is covering expenses, we strongly suggest against it, if possible. Our goal is to ensure that attendees can take full advantage of the SMART Global Congress and maximize their experience. Attending the entire Congress allows participants to fully immerse themselves in the engaging sessions, valuable hands-on training, and networking opportunities that span the event's duration. If we are covering the expenses of attendees and they are considering attending only a portion of the Congress, we kindly request them to reach out to us at globalcongress@smartconservationsoftware.org.

What if I register but then have to cancel?

Space is limited for in-person attendance, so if for any reason you can no longer attend, please email us at globalcongress@smartconservationsoftware.org as soon as possible so we can make your spot available to another participant.

Can I bring a spouse or partner who is not attending the Congress?

You are welcome to bring your spouse or partner to the SMART Global Congress, and participants may book a private room on their own at a cost of N$2,050/night ($105). SMART will still cover the cost of attending the Congress for only the registered attendee, not their partners/accompanying persons. You will be responsible for all expenses including accommodation, meals, and transport to and from the airport. Participation in Congress activities for all participants will require individual registration and will be subject to availability.

Will Wi-Fi be available?

Complimentary Wi-Fi will be available throughout the Congress spaces at the Conference Center.

Is there a dress code?

While there is no official dress code, we recommend dressing business casual, but comfortable.

Where is the SMART Global Congress being held?

Are airport transfers to/from the hotel provided?

The Congress will provide airport transfers from Windhoek’s Hosea Kutako International Airport. Registrants will be asked to provide flight information closer to the Congress. If you arrive before the 9th of March or depart after the 14th then you will have to book and cover the costs for transport. Contact globalcongress@smartconservationsoftware.org to arrange.

What if I need a visa to go to Namibia?

To determine whether or not you need a visa to travel to Namibia for the Congress, please contact the consulate or embassy in your country or visit the website: https://namibian.org/namibia/travel-advice/visa.

Are there any discounted flights for participants?

XL Travel Professionals was appointed as the official travel agents who can assist with travel documentation. A special package can be arranged if 10 or more participants will take the same flights. Please contact the travel agent, Doreen Botha, at doreen@xltravelpro.com.

Where can I park?

Secured parking is free of charge to all hotel guests and Congress participants.  No space reservation is required.

Can I arrive early or stay late at the hotel?

Yes, participants are welcome to arrive earlier or extend your stay at the hotel for the SMART Global Congress. However, please note accommodation is covered only from 10-14 March 2024. Any additional charges will apply for any extra nights beyond the designated Congress dates. Contact us at globalcongress@smartconservationsoftware.org for more information regarding the availability of early check-in or late check-out options, as well as any associated fees.

Are there any pre- and/or post-Congress tours available?

We are working with an agent to make special pre/post congress packages available for participants to experience Namibia outside of the congress itself. These will be independent of the congress and you will need to arrange these separately with the agent, Juanita Snyman. Closer to the time of congress we will circulate more detail on the packages to all attendees. If you are interested in more information, please indicate so during your registration and the tour operator will follow up with you individually. Where is the organized accomodation for the SMART Global Congress?

Accomodation will be at the Mercure Hotel in Windhoek, the capital city of Namibia. The venue is located at the corner of Auas and Aviation Road, Windhoek, Namibia, 9000 WINDHOEK, Namibia. Accomdation and the congress venue are in the same premises. 

Do I need a credit or debit card to check in at the hotel?

Yes - a credit or debit card is needed to put on file for incidentals or personal room charges when you check into the hotel.

Will any meals be provided to Congress participants?

Yes, breakfast, lunch, and dinner will be provided to participants staying at the hotel between 11-13 March. Dinner will be provided for participants arriving on 10 March and breakfast will be provided for all participants departing on 14 March.

Will I have to share a room?

To make this event as inclusive as possible for the entire global SMART community, the SMART Partnership will cover the costs of shared accommodations for all participants. Participants also have the option of identifying who they would like to share a room with at the time of registration. We will aim to honor these requests to the best of our ability. All rooms will be allocated by the organizing team.

What is the weather in Windhoek like in March?

Occasional short afternoon downpours. Day temperatures 27 - 32 C (90F).

What is the currency in Namibia?

The Namibian currency is the Namibian dollar ($N), which is pegged to the South African Rand. Current exchange rates can be viewed here. Foreign currency exchange can be done at the international airport, hotel, and other offices in Windhoek. There are also available ATMs in the international airport and throughout Windhoek.

What outlets does Namibia use?

Namibia uses three-prong sockets type D & M.

Can I rest assured that that I will be taken care of in case of medical emergency?

Yes, medical care is good in larger cities in Namibia, including Windhoek.

Do I need any vaccinations?

Please refer to available travel health guidelines (e.g., here). There is no malaria risk in Windhoek, but if you are planning to travel to the north of the country during your stay, anti-malarial prophylaxis is recommended.
